This Privacy Policy explains how Reality Based Leadership, LLC (“Reality Based Leadership,” “RBL,” “we,” “us,” or “our”) collects, uses, discloses, retains, and protects personal information when you access or use our websites, Shopify store, assessment platform, products, services, programs, events, communications, and related features (collectively, the “Services”).

This Privacy Policy applies to realitybasedleadership.com, our Shopify store, RBL assessments, and other Services that link to this Privacy Policy.

By accessing or using the Services, you acknowledge the practices described in this Privacy Policy. If you do not agree with this Privacy Policy, please do not use the Services or provide personal information to us.

2. MINORS

Our Services are not directed to children, and we do not knowingly collect personal information directly from individuals under 18 without appropriate involvement or authorization from a parent or legal guardian.

If you are under 18, you may use the Services only with the permission and active involvement of a parent or legal guardian.

If we learn that we collected personal information from a child in a manner prohibited by applicable law, we will take reasonable steps to delete it.

3. RELATIONSHIP TO OUR TERMS OF USE

This Privacy Policy is incorporated into and subject to our Terms of Use.

Our Terms of Use govern access to and use of the Services, including assessment licenses, digital products, accounts, intellectual property, prohibited conduct, and limitations applicable to the Services.

4. PERSONAL INFORMATION WE COLLECT

The personal information we collect depends on how you interact with us and may include the following categories.

A. Information You Provide

We may collect information you voluntarily provide, including:

  • Name;
  • Email address;
  • Telephone number;
  • Mailing and billing address;
  • Company, employer, job title, or professional role;
  • Account credentials;
  • Event-registration information;
  • Product and service inquiries;
  • Communications, requests, feedback, or customer-support information;
  • Information submitted through forms, surveys, emails, or other communications;
  • Assessment registration and participation information;
  • Assessment responses, scores, indexes, and reports;
  • Information provided when purchasing products for another participant; and
  • Other information you choose to provide.

You may choose not to provide certain information. However, doing so may prevent you from accessing certain products, Services, assessments, reports, or features.

B. Purchase and Transaction Information

When you purchase a product or Service, we may collect:

  • Products or Services purchased;
  • Order number;
  • Purchase amount;
  • Billing and shipping information;
  • Discount or promotional information;
  • Transaction status;
  • Fraud and risk indicators;
  • Refund, cancellation, dispute, or chargeback information; and
  • Information necessary to fulfill and support the order.

Payments may be processed by Shopify Payments, credit-card networks, financial institutions, digital-wallet providers, or other payment processors.

RBL generally does not directly store complete payment-card numbers. Payment information is collected and processed by the applicable payment provider according to its own privacy and security practices.

C. Information Collected Automatically

When you access or use the Services, we and our service providers may automatically collect information including:

  • Device identifiers;
  • Browser type;
  • Operating system;
  • Device type;
  • Approximate location derived from an IP address;
  • Dates and times of visits;
  • Pages, products, links, and features viewed;
  • Referring and exit pages;
  • Shopping-cart and checkout activity;
  • Email engagement;
  • Advertising interactions;
  • Session and usage information;

  • Security and fraud-detection information.

We and our service providers may use cookies, pixels, tags, software development kits, local storage, and similar technologies to operate the Services, remember preferences, understand usage, maintain security, measure performance, complete transactions, analyze marketing, and deliver or measure advertising.

5. ASSESSMENT INFORMATION

When you register for or complete an RBL assessment, we may collect:

  • Your name and email address;
  • The organization or purchaser associated with your assessment;
  • Assessment access and completion information;
  • Your responses to assessment questions;
  • Scores, indexes, classifications, or other calculated results;
  • Your individual assessment report;
  • Technical information related to administration of the assessment; and
  • Communications concerning assessment access, support, or results.

Assessment information is used to:

  • Administer and score the assessment;
  • Generate and deliver your individual PDF report;
  • Authenticate access and prevent unauthorized use;
  • Provide support and resolve technical issues;
  • Generate aggregated organizational results;
  • Evaluate the reliability, validity, effectiveness, and performance of the assessment;
  • Develop aggregated benchmarks;
  • Maintain, secure, and improve our assessments and Services; and
  • Conduct internal research and analysis using aggregated or de-identified information.

Individual and Organizational Results

The individual assessment participant receives their individual PDF report.

When an organization purchases or sponsors assessments for multiple participants, the organization receives aggregated organizational results. RBL does not provide the purchasing organization with individual participant responses or identifiable individual reports unless:

  • The participant directs or authorizes us to do so;
  • The participant independently provides the report to the organization;
  • A separate written arrangement, clearly disclosed to the participant before completion, provides otherwise; or
  • Disclosure is required or permitted by applicable law.

Aggregated organizational results are designed to describe group-level patterns rather than identify the responses or results of a particular participant. However, very small groups or unusual response patterns may create an increased possibility of inference. Where practicable, RBL may apply minimum-group-size requirements, suppress certain results, combine groups, or use other safeguards to reduce this risk.

To help protect participant confidentiality, RBL may require a minimum number of completed assessments before providing aggregated organizational results. RBL may withhold, combine, or limit reporting when a group is too small or when results could reasonably identify an individual participant.

De-identified and Aggregated Assessment Information

RBL may aggregate or de-identify assessment information so that it does not reasonably identify an individual.

We may use aggregated or de-identified information to:

  • Validate and improve assessments;
  • Evaluate assessment reliability and performance;
  • Develop and update benchmarks;
  • Conduct research and statistical analysis;
  • Improve scoring, reports, products, and Services;
  • Understand organizational or workplace trends; and
  • Create educational, research, or business insights.

RBL may disclose aggregated or de-identified information to researchers, advisors, service providers, business partners, clients, or the public, provided the information does not reasonably identify an individual.

We will not attempt to re-identify information that we have treated as de-identified, except where reasonably necessary to test our de-identification processes or as permitted by law.

Any identifiable human-subject or academic research requiring separate consent will be presented through a separate notice or consent process when appropriate. Purchasing or completing an assessment does not, by itself, constitute consent to unrelated identifiable research.

6. HOW WE USE PERSONAL INFORMATION

We may use personal information to:

  • Provide, operate, maintain, and improve the Services;
  • Process orders, payments, registrations, and transactions;
  • Deliver physical and digital products;
  • Issue assessment invitations, access codes, licenses, and reports;
  • Administer assessments and produce aggregated organizational results;
  • Communicate about orders, accounts, assessments, events, programs, or inquiries;
  • Provide customer service and technical support;
  • Personalize content and user experiences;
  • Maintain accounts and authenticate users;
  • Detect, investigate, and prevent fraud, chargebacks, unauthorized access, security incidents, and unlawful conduct;
  • Enforce our Terms of Use, policies, licenses, and agreements;
  • Protect our intellectual property and legal rights;
  • Maintain records and comply with tax, accounting, legal, and regulatory requirements;
  • Analyze traffic, engagement, product performance, and marketing;
  • Send newsletters, promotional communications, and information about products, events, or Services where permitted;
  • Measure and improve advertising campaigns;
  • Conduct internal research and develop aggregated benchmarks;
  • Manage corporate transactions or organizational changes; and
  • Carry out other purposes disclosed when the information is collected or with your direction or consent.

7. HOW WE DISCLOSE PERSONAL INFORMATION

  • Assessment-platform and software providers;

  • Information-technology and security providers;
  • Fraud-prevention and risk-management providers;

B. Purchasing Organizations

When an organization purchases or sponsors assessments, we may provide that organization with:

  • Participant invitation or completion status;
  • Administrative information reasonably necessary to manage the purchased licenses; and
  • Aggregated organizational results.

We do not provide identifiable individual assessment responses or reports to the purchasing organization except as described in Section 5.

C. Legal, Safety, and Rights-Protection Disclosures

We may disclose information to law enforcement, courts, regulators, government agencies, or other parties when we reasonably believe disclosure is necessary to:

  • Comply with applicable law, legal process, or governmental requests;
  • Investigate or prevent fraud, security incidents, chargebacks, or unlawful conduct;
  • Protect the rights, property, safety, or security of RBL, our users, or another person;
  • Investigate suspected intellectual-property infringement;
  • Enforce our Terms of Use, agreements, or policies; or
  • Establish, exercise, or defend legal claims.

D. Business Transactions

We may disclose or transfer information in connection with a merger, acquisition, financing, reorganization, bankruptcy, sale of assets, change in ownership, or another business transaction.

Any recipient will remain subject to applicable privacy obligations concerning the transferred information.

E. With Your Direction or Consent

We may disclose information when you request, direct, authorize, or consent to the disclosure.

8. ADVERTISING, ANALYTICS, AND “SALE” OR “SHARING”

We do not sell personal information in exchange for money.

We may use analytics and advertising services, including social-media pixels or similar technologies, to understand use of the Services, measure advertising effectiveness, and provide or measure interest-based advertising.

These services may collect or receive identifiers, device information, online activity, approximate location, and information about interactions with our Services.

Under certain privacy laws, disclosures to advertising and analytics providers may be considered a “sale,” “sharing,” or use for targeted advertising even when no money is exchanged.

We do not knowingly sell or share personal information belonging to individuals under 18 for targeted advertising.

We do not use identifiable assessment responses, scores, or individual reports for third-party targeted advertising.

9. DATA RETENTION

We retain personal information only for as long as reasonably necessary for the purposes described in this Privacy Policy, including to:

  • Provide products and Services;
  • Maintain assessment results and reports;
  • Complete transactions and fulfill orders;
  • Comply with legal, tax, accounting, and regulatory obligations;
  • Resolve disputes;
  • Detect and prevent fraud or abuse;
  • Maintain security;
  • Enforce agreements and intellectual-property rights; and
  • Support legitimate business operations.

Retention periods vary based on the nature of the information, the purpose for which it was collected, contractual requirements, legal obligations, security considerations, and whether the information is needed to establish or defend legal claims.

We may retain aggregated or de-identified information for research, benchmarking, validation, analytics, and improvement purposes where it no longer reasonably identifies an individual.

10. DATA SECURITY

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, loss, misuse, alteration, or disclosure.

However, no website, transmission, platform, storage system, or security measure is completely secure. We cannot guarantee the absolute security of personal information.

You are responsible for protecting account credentials, passwords, access links, and assessment codes and for notifying us promptly if you suspect unauthorized access or use.

11. YOUR PRIVACY CHOICES

Marketing Communications

You may opt out of marketing emails by using the unsubscribe link included in the message or by contacting us at info@realitybasedleadership.com.

Opting out of marketing communications does not prevent us from sending transactional, assessment-related, account-related, administrative, security, fulfillment, or legally required communications.

Cookies and Advertising

You may manage cookies through your browser, device settings, cookie-preference tool, or available Shopify privacy controls.

You may also use opt-out tools provided by organizations such as the Digital Advertising Alliance or Network Advertising Initiative. These choices may be browser- and device-specific.

You may adjust advertising preferences directly through applicable social-media platforms.

Privacy Requests

Depending on your location and applicable law, you may have the right to request:

  • Access to personal information we maintain about you;
  • Correction of inaccurate information;
  • Deletion of personal information;

Where permitted, you may use an authorized agent to submit a request. We may require proof of the agent’s authority and verification of your identity.

12. USERNAMES AND PASSWORDS

Access to portions of the Services may be protected by a username, password, access link, or unique code.

Do not provide credentials or assessment access codes to unauthorized persons. Log out after using a shared or public device and use reasonable precautions to protect your account.

13. INFORMATION ABOUT OTHER PEOPLE

If you provide personal information concerning another person, including an assessment participant, you represent that you are authorized to provide the information and that you have delivered any notices or obtained any permissions required by applicable law.

You may not use personal information obtained through the Services to send spam, engage in unauthorized marketing, harass another person, or disclose information without appropriate authorization.

14. THIRD-PARTY WEBSITES AND SERVICES

The Services may contain links to websites or services that we do not operate.

If you follow a third-party link or use a third-party service, that party may collect and use information under its own privacy policy. We are not responsible for the content, security, or privacy practices of third-party websites or services.

We encourage you to review the privacy policy of each third-party website or service you use.

15. INTERNATIONAL DATA TRANSFERS

RBL is based in the United States. If you access the Services from outside the United States, your information may be transferred to, stored in, or processed in the United States or other countries where RBL or our service providers operate.

The privacy and data-protection laws of those countries may differ from the laws in your location. Where required, we use legally recognized safeguards for international transfers.

16. CALIFORNIA PRIVACY RIGHTS

California residents may have rights under the California Consumer Privacy Act, as amended, and other California laws, subject to applicable thresholds, definitions, and exceptions.

We do not disclose identifiable assessment responses, scores, or individual reports to third parties for their direct-marketing purposes.

17. OTHER STATE PRIVACY RIGHTS

Residents of Texas and certain other states may have additional privacy rights under applicable state law, subject to statutory thresholds and exceptions.

These may include rights to access, correct, delete, or obtain a copy of personal information and to opt out of certain targeted advertising, sales, or profiling.

Where applicable law provides a right to appeal our decision regarding a privacy request, you may submit an appeal by emailing info@realitybasedleadership.com and writing “Privacy Appeal” in the subject line.

18. CHANGES TO THIS PRIVACY POLICY

We may update this Privacy Policy periodically to reflect changes in our Services, assessment practices, technology, legal requirements, or business operations.

When we make changes, we will update the “Last updated” date. We may also provide additional notice when required by applicable law or when changes are material.

The version posted through the Services applies from its stated effective date. Where required by law, we will obtain consent before applying a material change to information previously collected.
